About this position

The Energy & Materials Transition unit is looking for a management assistant for the Solar Technologies & Applications research group. At Solar Technologies & Applications, we work on new solar innovations and how to apply them in the built environment, on land and on water, among other places. We work closely with the Solar Energy research group in Petten. Together, we share several office and experimental facilities. In this position, you’ll work for the research manager and deputy research manager, and work closely with the management assistant of the research group in Petten. You’re the spider in the web of around 45 employees, as you’re always there for them to help them with project support where needed.

What will be your role?

Your job is incredibly varied; throughout the day, you’ll switch between different tasks, always assessing what is needed where. You’re the backbone of the group and ensure that all processes are structured and run smoothly.

You’ll assist the research manager and deputy. You’ll manage the agenda and mailbox of the research manager and deputy where necessary, schedule meetings, take minutes at group and management meetings, and be broadly responsible for the department’s organisational matters.

You’ll be responsible for a wide range of tasks of all-round secretarial support to the group, such as: general point of contact; organising and preparing meetings; organising catering, meetings, and group outings; processing documents for signature; formatting documents in line with TNO templates; managing orders and purchase orders; offering administrative support on the use of project systems; and support the intake of new staff.

With your otherworldly planning and prioritising skills, you’re often a step ahead of the (deputy) research manager and other colleagues. You’re thoughtful and able to work proactively. You quickly see what needs to be done and are able to switch between different tasks effortlessly. And if something isn’t feasible, you communicate this clearly and honestly.

What we expect from you

To perform this role well, we expect you to meet the profile below:
Professional and intellectual ability at least at MBO (senior secondary vocational education) level with a completed education up to at least MBO-4 level, preferably in the area of management assistance, secretarial support, or administration. (HBO working and thinking level is desirable);

Excellent written and spoken communication skills in Dutch and English;
Good digital skills. Experience with relevant software systems, management systems, and digital processes (e.g., MS Office, SAP, Export Control, SRM);

A sincere interest in people and the ability to support TNO colleagues from this attitude;
You get energy from collaboration and you’re approachable as a person for questions from colleagues;
Key competences include: organisational sensitivity, creativity, flexibility, accuracy, and, of course, proactivity;
Work availability of 32 to 40 hours per week.

The selection process
