The VRDays Europe Foundation is the organisation behind Immersive Tech Week (ITW) since 2015, a unique festival where creativity, innovation, business, research and art meet to explore the impact of immersive technologies on our planet, culture, and society. After seven years in Amsterdam, ITW moved to De Doelen in Rotterdam in 2022 and takes place annually in the last week of November.

Programme Coordinator

40 hours per week
The Programme Coordinator is the vital link between the Programme Director, the Artistic Director, curators, advisors and the Head of Partnerships when it comes to the selection of speakers for the conferences, roundtables and workshops of Immersive Tech Week and additional events.

The Programme Coordinator is the `single source of truth´ and keeper of Immersive Tech Week’s programme and speaker information. The Programme Coordinator is the sole owner of this information, is responsible for ensuring that all information about the programme is correctly recorded and that changes are effectively communicated to the entire team and relevant stakeholders. The Programme Coordinator will work together with the Conference Producer and reports to the Head of Production. The Coordinator will also work closely together with the programming and partnerships team in the creation of the Immersive Tech Week programme. Additionally, they will join forces with the marketing team in communicating the programme correctly to the public.

The Programme Coordinator will conduct research to identify trends, act as a liaison with speakers, and is responsible for managing the programme information of the conferences, roundtables and workshops.

The Programme Coordinator is part of the permanent team working on Immersive Tech Week and additional events throughout the year. As the permanent team is relatively small, team members sometimes are assigned tasks and responsibilities that are alien to their core responsibilities such as assisting the Head of Partnerships with the closing and handling of sales as well as some account management.

Responsibilities and duties

  • Coordinate the creation of the programme of Immersive Tech Week and additional events.
  • Keep all programme (conferences, workshops and roundtables) and speaker information and descriptions up-to-date, coordinate changes and make sure all team members and other stakeholders are informed.
  • Act as the owner of the programme information sheet and help the team come up with titles and descriptions for conferences, workshops and roundtables.
  • Detect anomalies within the programme and programme information, and report to the Head of Production and other stakeholders.
  • Stay ahead of the curve: support the Programme Director with year round conference trends, programme topic research and identify event opportunities.
  • Work closely with the programming team to develop the programme of ITW and side events.
  • Nurture and build relationships with speakers and other industry contacts.
  • Build and maintain a comprehensive database or mastersheet of all programme and speaker information.
  • Coordinate communication and progress of programme between the programme advisors, the programme director, the CEO or Art director and the Head of Production.
  • Act as speaker liaison before and during the event, identify needs and troubleshoot issues.
  • Coordinate with the Head of Partnerships with regard to all programme elements associated with sponsorships, exhibitors and event partners.
  • Work with the marketing team to correctly promote and publicize event programme elements and speakers.
  • Nurture and build relationships with speakers and other industry contacts throughout the year and while visiting international XR events.
  • Keep track of and handle the budget for speakers’ travel and accommodation.
  • Conduct post–event surveys and evaluations and report on outcomes.

Qualifications

  • Experience in programme management and event planning.
  • Strong research and analytical skills.
  • Excellent communication and interpersonal skills.
  • Experience working in the immersive technology industry is a plus.
  • Strong attention to detail and ability to multitask.
  • The Programme Coordinator must be a self-starter, able to work independently and as part of a team.
  • The ability to work under pressure and meet deadlines is essential.

Conditions of employment

The position is 1 fte. The gross salary, based on a full-time contract, is between € 2.500 and € 2.700, excluding 8% holiday pay. Remote work is possible, with traveling to Rotterdam expected for some team meetings. This is a full-time position, with some evening and weekend work required during the festival.
