Are you passionate about providing customers excellent service and are you the one who will always try to exceed expectations? Do you have one or more years of experience as a receptionist or Office Manager and do you speak English and Dutch fluently? Then we are looking for you!For our international client in The Hague we are urgently looking for a temporary receptionist, with several years of experience in a similar position preferably within the educational sector or a NGO.
Your responsibilities will entail:
Provide reception, meeting and hospitality support;
Ensure all office equipment is fully operational;
Complete additional tasks as appropriate in collaboration with global facilities management colleagues;
Issue loan equipment to visitors and staff as required;
Book meeting rooms;
Highlight and investigate spend efficiencies;
Coordinate with the Facilities Manager to update building specific pages on the internal website;
Ensure Facilities Manager handbook, concierge file are current;
Ensure that all key documentation are stored, filed and indexed appropriately on SharePoint Inc. contracts, leases, minutes etc.;
Ensure all stock levels for all items/consumables held are correct and key items are available for colleagues;
Distribute all post correctly. Send all post as directed. Ensure franking machine always has sufficient credit. Working with facilities administrators to ensure courier contract is in place with appropriate rates. Send and distribute faxes;
Note and receive any building issues or faults and resolve as appropriate or escalate to the Facility Manager;
Maintain the reception area to ensure a first class welcome.
Funtie-eisen
We are looking for you if you have:
At least vocational education;
Fluency in English and Dutch both spoken and written;
1 year of small/medium size office reception experience;
Experience of invoice processing;
Understanding of five star customer service including telephone and face to face communications;
Very good MS Office Skills Excel, Word, E-Mail;
Understanding of Oracle desirable (or similar);
Very disciplined and demonstrable proof of organisational skills to ensure all deadlines are met;
Excellent team player.
